BlogWorld & New Media Expo gives speakers an opportunity to share their knowledge and experience with a growing audience of bloggers, podcasters, internet radio and TV broadcasters and other new media content creators, influencers, publishers, marketers, journalists, innovators, entrepreneurs and corporate executives.


The 2009 conference will feature more than 150 speakers covering all areas of the blogosphere, podcasting, new media world, including:

The BlogWorld & New Media Expo Conference is focused on educational content. Speakers are selected on their merit, insight, leadership and ability to share new research, techniques, skills, knowledge and innovative methodologies.

Keynotes: These flagship presentations feature high-profile innovators, executives or thought leaders representing key areas of the new media landscape. Keynote presentations are open to all attendees, including those with Exhibit Hall passes.


Panels (limited to 4 people total, including a Moderator): industry experts share insights and experiences with a quality audience. The multi-faceted character of the group conversation provides depth and diversity to of viewpoints for those in attendance, and Q&A is commonly exciting.


Panel Moderators: Moderators will be selected from industry leaders who not only guide the group panel discussion but also participate in the panel format. Panel moderators are involved with active pre-event production/planning with their panel, solicitation of quality speakers to fill slots, and organization of the proceeding.  The panel sessions themselves are one hour in length, which includes audience Q&A opportunities.

Individual Presentations: Focused educational talks where speakers engage with attendees, providing a unique viewpoint and set of experiences. Audiences leave with an understanding of the individual presenter’s insights and methodologies.


Important things you need to know...
1. This is an Educational Conference, not a product or service “pitch” opportunity, and accordingly all presentations must be prepared with non-biased educational content. Your speaking proposal should be developed assuming that you will be teaching a one-hour class, and it will require significant preparation. Off-the-cuff talks and “winging it” will not be permitted, as conference attendees are coming for educational benefit rather than simple entertainment.
2. Each year, we receive more than a thousand speaking proposals, and a fraction are selected. Please be specific and concise when describing your educational topic coverage and what attendees will gain from your presentation. This will improve your chances of being selected to present. We suggest that you focus on your specialty within the new media industry, as it will be much easier for you to deliver a high quality experience for your audience.
3. Advertisements and sales pitches in conference sessions are strictly prohibited. Your presentation must focus on educating within your topic and contain absolutely NO PITCHING. Your logo or website address may be on your slides and you may have contact information on your final slide. Even subtle sales pitches will result in the session being immediately halted. This is not something you want your session attendees blogging, podcasting, tweeting or talking about; don’t do it.
4. You will be required to provide an advance digital copy of any a/v presentation (including but not limited to Power Point presentations, video clips, audio clips, podcasts, etc.) that will be used in the session no later than AUGUST 15, 2009. Details for submission will be provided to you by your conference track leader.
5. All submissions received will be reviewed. We will notify speakers selected to participate in June, 2009.
 


LETTER OF AGREEMENT – SPEAKER
Thank you for submitting your proposal to speak at the upcoming BlogWorld & New Media Expo!  We hope that you will gain valuable connections and exposure through this participation. We want to have our agreement spelled out clearly so that you know what to expect and in turn clarify our expectations of you as a BlogWorld & New Media Expo speaker. Upon reading this agreement between you, (the Speaker), and BlogWorld, LLC (the Company) and checking the box online, you are confirming that you’ve read, reviewed, understand and agree to all terms and conditions below.


Terms & Conditions              
Session Promotion:  By agreeing to speak at the BlogWorld & New Media Expo, you are granting Company the right to use your name, image, bio and topic information in the promotion of the show and your session.  This includes listings in the web site, promotional mailers/e-mails/newsletters, advertisements, the show directory/addendum and various other sources as to be determined by the Company.  Unless otherwise requested, Speaker’s e-mail address may be posted on the show’s web site or session materials to facilitate communication between Speaker, session attendees and Company.
Session Location:  All BlogWorld & New Media Expo sessions will be held in the South Hall Bridge Meeting Rooms of the Las Vegas Convention Center, in Las Vegas Nevada.  Note that specific session room assignments are made in the weeks just prior to the show. You should tell interested parties to check on-site signage or the on-site show directory for the session’s location.
Session Layout:  All sessions will be held in meeting rooms that have theatre style or classroom style seating.  There will be a riser at the front of the room for you to present your session.  There will be one wired floor mic in the seating area for attendees to direct questions to the speakers.  If for any reason, you do not wish attendees to be able to address questions at your session, you must notify Company at least 6 weeks two weeks prior to the show.
Audio Visual Equipment:  The following equipment will be provided by the Company in your session room:  Podium with microphone & speakers, IBM compatible laptop computer (with a USB port to plug in a flash drive, a CD/DVD drive and internet connection or wireless internet access), projector connected to the computer and a projection screen.  Note that the laptop will be in each session room for use by all speakers and sessions in that room.  You will not have time to prep the computer other than the short time before each session.  Please make sure that your presentation is adequately prepared on a flash drive, CD or web site so that it does not require complex or lengthy prep time.  It is highly recommended that if you have a media presentation, you send it to the company in advance. A/V technicians will be on-site to assist with questions and compatibility issues.
Speaker Ready Room:  Company does staff a “speaker ready room” at the convention center.  Speakers must check in at this location at least two hours prior to the start time of their session.  Staff will be available to answer any speaker questions in this room and speakers may work/relax in this room as they prepare for their session.  Please do NOT invite other show attendees or guests into this room as it is for speakers’ use only.
Session Attendance/Access:  Access control will be in effect for all BlogWorld & New Media Expo Sessions.  Registrants that have “Full Access” and “conference” badges will be the only ones granted admission to your session.  Exhibitors, sponsors and Exhibits Only badges will not be permitted to enter.  Please do NOT tell your guests and colleagues that they may “stop by” or come to your session if they do not have the appropriate badge as they will not be granted access.  
Session Recordings:  It is the intention of the Company to record audio and video of all sessions at BlogWorld & New Media Expo.  By agreeing to be one of the speakers at the show, you are granting Company the right to use your likeness and recorded content on their event web site, affiliated sites, DVD’s, CD’s, downloadable media or any form of distribution at the sole discretion of Company.  No royalties or rights are due to Speaker.


SPEAKER AGREES TO:
1. Submission of Speaker Information:  Submit the following details/materials to Company with this completed agreement and speaker submission or you will not be considered as a speaker:
Speaker’s full name (as it will appear in a contract, on promotion and in signs)
Speaker’s title (if applicable)
Speaker’s company or affiliation (if applicable)
Speaker’s mailing address
Speaker’s e-mail address
Speaker’s telephone number
Speaker’s cell phone number
NOTE:  If any of this information changes prior to the session, Speaker agrees to notify Company immediately.  This is particularly important in the event of employment or title change, and for the ability to communicate important show details with the Speaker.
2. Submission of Speaker’s Digital Photo:  Speaker agrees to upload his/her photo in a digital format (jpg/gif/tif/etc) to the show’s website through show management’s online tool (details and applicable deadlines will be sent to the speaker directly).  This photo may be used on the web site, directory and in promotional materials or any event-related distribution without limitation.
Image Rights Release:  As a participant in BlogWorld and New Media Expo, upon the terms herewith stated, I hereby give to BlogWorld and New Media Expo, their heirs, legal representatives and assigns, and those acting with his/her authority and permission:
a) the unrestricted right and permission to copyright and use, re-use, sales through any visual or audio media, publish, live streaming and broadcast video or pictures of me or in which I may be included intact or in part, composite or distorted in character or form, without restriction as to changes or transformations in conjunction with my own or a fictitious name, or reproduction hereof in color or otherwise, made through any and all media now or hereafter known for illustration, art, promotion, advertising, trade, or any other purpose whatsoever.
b) I also permit the use of any printed material in connection therewith.
c) I hereby relinquish any right that I may have to examine or approve the completed product or products or the advertising copy or printed matter that may be used in conjunction therewith or the use to which it may be applied.
d) I hereby release, discharge and agree to save harmless BlogWorld and New Media Expo, their heirs, legal representatives or assigns, and all persons functioning under their permission or authority, or those for whom they are functioning, from any liability by virtue of any blurring, distortion, alteration, optical illusion, or use in composite form whether intentional or otherwise, that may occur or be produced in the taking of said picture or in any subsequent processing thereof, as well as any publication thereof, including without limitation any claims for libel or invasion of privacy.
e) I hereby affirm that I am over the age of majority and have the right to contract in my own name. I have read the above authorization, release and agreement, prior to its execution; I fully understand the contents thereof. This agreement shall be binding upon me and my heirs, legal representatives and assigns.
3. Submission of Speaker’s Bio:  Speaker agrees to write and upload a short personal bio (under 100 words) to the show’s website through show management’s online tool (details and applicable deadlines will be sent to the speaker directly).  This bio may be used on the web site, directory and in promotional materials or any even-related distribution without limitation.
4. Speak at the Session Confirmed by The Company. Speaker agrees to work with Company staff, track leaders, other session speakers and a/v techs in the professional presentation of the session.  Speaker agrees to keep his/her presentation to the time listed in this agreement.  Speaker agrees to limit his/her presentation to the topic listed in this agreement.  Speaker agrees that he/she will come to the show with a professional presentation prepared and will not attempt to speak “off the cuff” or “wing it”.  Speaker agrees that he/she will present a program that is entirely educational in nature. No type of sales presentation shall be permitted and Speaker will refrain from making promotional statements about his/her company or service.  Speaker is permitted to reference case situations that involve his/her company or service if it is purely historical in nature and are not intended to be a marketing plug.
5. Only Cover Respectful and Legal Material in the Session.  Speaker agrees to refrain from overt statements that disparage the rightful dignity or social equality of any individual or group.  In the speech or presentation, the Speaker agrees to avoid jokes, references or innuendo of a sexual nature, references to individuals or groups by virtue of their membership in a particular religious, racial, or ethnic group that could be considered offensive, or use of profane language that could be considered offensive.  The Speaker also agrees and states that all material and content presented by the Speaker does not infringe or violate any copyright, trademark, patent or intellectual property rights of any person or entity, nor do they promote or endorse any product, service, or device which may or is at this time of the program not approved by any governing agency.  Speaker agrees that it will not use any copyrighted music in the session without obtaining prior written permission from Company and music owner.  Speaker agrees to indemnify, hold harmless and defend Company for any liability resulting from the presentation, both verbal and written, including libel, slander and misstatement of fact, antitrust violations or violation of copyright.  
6. Provide Company with Session Materials in a Timely Manner.  Speaker agrees to provide Company with an advance digital copy of any a/v presentation (including but not limited to Power Point presentations, video clips, audio clips, podcasts, etc.) that will be used in the session no later than AUGUST 15, 2009.  Speaker also agrees to bring a back-up copy of this material with him/her on-site to the show.  Speakers are encouraged to bring handout materials for distribution during their session.  Speaker is solely responsible for any costs associated with this.  Printing and duplication costs will not be reimbursed by Company and copy services are not available on-site through the Company.
7. Ship Materials to the Show According to Specific Instructions Provided by Company.  The Show venue (the Las Vegas Convention Center) is a very large facility and has very complicated shipping and receiving protocols.  If Speaker wishes to ship any session materials to the show, he/she must contact Company in advance for specific shipping instructions.  There are a number of days just prior to the show where no deliveries will be received and advance shipments are strictly prohibited.  Company is not responsible for lost or misdirected Speaker materials and it is the sole responsibility of the Speaker to request the shipping instructions from Company and follow the dates, addressing and packaging instructions provided at that time.
8. Arrive and Check in for the Session in a Timely Manner.  Speaker agrees to arrive at the South Hall of the Las Vegas Convention Center, pick up their badge in registration and check in at the Speaker Ready Room at least two hours prior to the start time of the session listed in this Agreement.  This time is necessary to check in, receive instructions from Company staff and track leader, find the session room and do final room and a/v checks.  It is highly recommended that the speaker check in a full day prior to the session start time to fully orient his/herself to the show and venue, as well as to ask any questions that may be necessary.
9. In the Event of an Emergency.  Should it become necessary for the Speaker to cancel his/her participation in the session listed in this Agreement, Speaker agrees, to the best of his/her ability, to give Company at least 60 days of advance notice.  Should this cancellation have to occur between 5 and 60 days prior to the session, speaker agrees to immediately notify Company via e-mail AND telephone of the cancellation.  Speaker also agrees to attempt to assist company in identifying a proper replacement for Speaker in this session.  If possible, Speaker should try to provide company with a possible replacement’s name, phone number and e-mail address with their cancellation.  Should the Speaker have to cancel his/her presentation within 5 days of the Session, Speaker agrees to immediately contact Company via telephone and e-mail, with a brief professional explanation of the emergency (i.e., family emergency, travel delay, company emergency, etc.) and Company has permission to publish this information to attendees as an explanation as to why the Speaker is not present.  This is done in an attempt to protect the reputation of both Company and Speaker, and no personal information will be shared.
10. Risk.  Speaker shall indemnify and hold harmless Company from any claim, demand, loss, liability, damage or expense arising in any way from the Speaker’s performance of services.  Speaker recognizes that Company is relying on Speaker to perform as outlined in this Agreement.


COMPENSATION:
1. Show Registration/Event Pass:  
For Speakers on Friday and Saturday: Company will provide Speaker with a complimentary access code to receive a “WEEKEND PASS” registration pass (Value:  $499).  This pass includes access to all BlogWorld & New Media Expo Sessions offered on Friday (October 16, 2009) and Saturday (October 17, 2009).  It also includes access to the two keynote addresses on the same days, as well as entrance to the exhibits during all open hours (does not include set-up and move out hours).  In addition, it includes entrance into the Friday Opening Night Reception as well as the Saturday Networking Reception on the Exhibits Floor.  Beverages are provided near the conference areas on both days.
For Speakers on Thursday: Company will provide Speaker with a complimentary access code to receive a “FULL ACCESS” registration pass (Value:  $999).  This pass includes access to all Social Media Business Summit sessions, keynotes and luncheon on Thursday, October 15, 2009.  It also includes access to all conference sessions, keynotes, and exhibit hall access during all open hours (does not include set-up and move out hours) on Friday (October 16, 2009) and Saturday (October 17, 2009). In addition, it includes entrance into the Friday Opening Night Reception as well as the Saturday Networking Reception on the Exhibits Floor.  The Full Access pass is the only registration type that will have access to the Conference Break Area, which offers light morning and afternoon snacks, as well as boxed lunches on Friday and Saturday.
2. Recognition in the Show Schedule:  Receive recognition from your peers as an industry leader and exposure to thousands of potential customers by speaking at the show.  Your name and/or photo will appear in show materials before and during the show (provided that you provide your photo by the cutoff date—details will be provided if you’re selected as a speaker).  
NOTE:  Additional compensation will not be paid by Company to Speaker.  This includes, but is not limited to hotel rooms, travel expenses, per diems, meal expenses, internet fees, honorariums, entertainment, printing/copy/reproduction costs, other business expenses or other miscellaneous incidentals.
NOTE 2:  Additional complimentary or reduced rate conference or show passes will not be issued to speaker associates, co-workers, assistants, friends or family members.
